GDPR Clause

Based on Article 13(1) and (2) or Article 14(1) and (2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27th April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), hereinafter referred to as “GDPR”, we inform you about the manner and purpose for which we process your personal data, as well as your data protection rights, as follows:

A data protection officer may be contacted by you on all matters concerning the processing of your data and the exercise of rights related to the processing of the data, in the following way:

  1. The purposes of data processing and the legal basis for the processing

The legal basis for the processing of your data is, according to Article 6 (1) (c), (e) and (f) of GDPR:

1) admission, verification and storage of the admission forms for the festival

  1. Categories of personal data and sources of their acquisition (refers to the acquisition of personal data from sources other than a data subject)

The data is collected via the official email of the association stowarzyszenie@jomsborg-vineta.com.

The collected data are as follows:

  • name and surname
  • ID, PESEL, PASSPORT, EHIC, RESIDENCY PERMIT numbers
  • email address
  • phone number
  • in rare instances personal home address
  • date of birth

In cases of underage participants collected are also:

  • name and surname of the guardian
  • phone number for the guardian

 

  1. Personal data storage period

The controller shall store personal data for the time required to document activities involving your participation related to activities undertaken before the conclusion of the Agreement and during its performance, as well as after the termination or expiry of the Agreement, for the period specified in accounting and tax regulations. These periods may be extended if it is necessary to establish, assert or defend against claims arising from the performance of this agreement until any possible claims are time-barred. The documentation shall be archived under applicable laws.

  1. Rights related to the processing of personal data

You have the following rights related to the processing of your personal data:

1) the right to access your personal data;

2) the data will not be processed or given to other subjects

3) the data will not be transferred to another country

4) your data shall not be subject to automated decision-making, including profiling.

5) the data will be stored for 5 years

6) a participant or a guardian of an underaged participant can ask to correct, delete or object to the data being processed or stored

7) a participant or a guardian of an underaged participant can withdraw an agreement with no influence on the lawful processing of the data before the withdrawal

8) the right to complain to the supervisory authority dealing with personal data protection, i.e.  the President of the Personal Data Protection Office [Prezes Urzędu Ochrony Danych Osobowych];

9) submitting the data is voluntary
